OverviewLOCATIONHarrisburg, PA --PFM a leading municipal financial and investment advisory firm, has a position open in our Harrisburg Office for an Administrative Assistant (internally titled as Associate). Service is our top priority in everything we do, and it is delivered in every relationship following our core principles of Independence, Initiative, and Integrity. ----JOB OVERVIEWThis person will be responsible for researching and compiling background information on PFMs clients and prospects, as well as production of formal financial materials, including official documents, proposals, presentations, and marketing materials. This deadline driven, administrative position requires flexibility, the ability to handle multiple tasks, strong organizational and communication skills, and attention to details and accuracy.--Software proficiency as outlined below is essential given time sensitive job requirements. In addition to software skills, this individual will also be instrumental in handling daily operations in an office which includes approximately 15 professional staff. This includes the ability to make travel arrangements, coordinate schedules, arrange meetings and maintain accurate files. The ideal candidate must be able to work independently. ResponsibilitiesKEY RESPONSIBILITIESJob responsibilities include but are not limited to:--General

  • Coordinating and completing monthly client billing
  • Coordination of settlements: includes preparation of the settlement sheet, coordinating and confirming wire transfers, and collection of invoices, utilizing Excel software.-- Frequent communication between various parties involved in the transaction is necessary
  • Preparation and coordination of bond sales and bond sale documents. Includes preparation of a summary sheet which accurately records the results of competitive bond sales
  • Maintaining and updating the department business plan
  • Daily verbal and written correspondence with clients
  • Scheduling meetings for managing director and senior managers, assist in preparation for meetings and confirming meeting date and time with clients/prospects as date approaches
  • Arranging all travel and reservations, including events such as dinners
  • Serving as a liaison within the department and firm
  • Assisting in entering notes, correspondence and attaching documents in CRM system
  • Assisting managing director and senior staff with expense and time sheet entry
  • Keeping managing director and senior staff informed of all client and internal communication while manager is out of the office
  • Maintaining electronic records, and faxing, scanning and mailing information to clients --QualificationsQUALIFICATIONSThe ideal candidate would possess experience supporting multiple projects and working under various deadlines. We are seeking individuals with the following skills and qualities:--
    • College degree a plus or equivalent experience
    • 2+ years administrative experience in professional services or related industry
    • Familiar with invoicing and reconciling billing
    • Proficiency in Microsoft Word, PowerPoint, Excel, Outlook and Microsoft Dynamics CRM. Some Access experience preferred
    • Accuracy when preparing documents within a tight time frame
    • Professional mannerism in all communications including phone and e-mail
    • Ability to work independently with limited supervision --COMPENSATIONThis position is a non-exempt position eligible for overtime pay.-- Compensation includes a competitive base salary, incentive / bonus potential, and a comprehensive benefits package.-- PFM also offers participation in a profit sharing and 401K program.----PFM is an equal opportunity employer (EOE) and maintains a drug-free work environment.
