Job DescriptionProvides a broad variety of administrative and
staff support services for an assigned group or manager. Other
duties may include:� collects and interprets data to produce
reports; conducts special projects; coordinates meetings,
conferences, presentations and travel arrangements; and composes
correspondence and other documentation as needed.� Frequently uses
personal computer software packages for word processing, graphics,
spread sheets, etc.� Specific job duties vary by area.JOB
RESPONSIBILITIES:The Internal Operations Associate will be a part
of the Internal Operations team that provides customer service to
the employees of PFM. The team member will be cross trained in all
tasks within Internal Operations and will be expected to perform
all of them as needed. Internal Operations is an ever evolving
department that needs to remain flexible and current in the
business environment.PRIMARY DUTIES:• Responsible for prepping,
scanning, indexing and also performing quality check of work
performed during the full cycle of the document imaging process.•
Performs tasks to help ensure the office runs smoothly, mail
sorting, sending and receiving packages, ordering, receiving and
setting up catering orders, sending facilities requests.• Special
projects as assigned, examples could be data entry, account
reconciliation, presentation creation, expense reporting, filing,
brokerage support or general administrative work for a wide variety
of departments.• Primary back up for receptionist. Greets visitors
and directs them, receives and directs incoming call, gives breaks,
lunch, time off relief.• Printing and production of RFPs, annual
reports, proposals, presentations, books, statements, and other
jobs sent to copy center.• Other duties as determined and assigned
by Internal Operations Manager*. REQUIRED SKILLS:• Strong computer
skills, including experience with Microsoft Office 2013 and
document creation software such as Adobe Acrobat, are required.•
Ability to communicate effectively with employees at all levels.•
Ability to organize, prioritize, and concentrate on detailed
information.• Excellent administrative, time management and
organization skills.• Excellent telephone skills and reliability to
fufill scheduled tasks.• Ability to work well as part of a team and
also independently on tasks.• Accuracy in a fast paced work
environment.• Self motivated and have the ability to learn new
tasks quickly and follow procedures.• Flexibility to learn new
skills and take on new tasks as well as flexibility in the flow of
the workday.• Ability to lift 30 pounds and stand or sit for long
periods of time.
